    Start here

    The Buyders admin is where staff verify listings, work buyer leads and run the team. You only see the tabs your role needs.

    Things move through stages

    A listing goes Draft → Under review → Listed. A lead goes New → … → Closed won. Every stage has a name on screen.

    Work waits in a pool

    Work nobody owns sits in a pool. One person takes it. Giving it back needs an admin.

    Risky actions need a second person

    Blocking, force-approving and Super Admin changes need two different admins. Some actions also ask for your 6-digit code.

    Sign in, step by step

    1. Open the admin. Type your email and the temporary password you were given.
    2. Choose a new password. 12 or more characters. Not the temporary one.
    3. First time only: scan the QR code with an authenticator app. Then type the 6-digit code. Every later sign-in: just the code.

    Many wrong tries lock you out for a while. Ask the owner to reset it.

    Listings are verified and made public. Buyers show interest. Each interest becomes a lead that staff work until it closes. Dashed boxes are side loops.

    What happens next

    Work you finish drops off the list.

    Watch out

    • Overdue mixes leads and listings. Oldest due date first.
    • Open pools only shows counts. Click a pool to see its items.

    You do

    • Look at the five number tiles.
    • Click a tile to open that queue.
    • Read Recent admin activity. Look for anything odd.

    What happens next

    Each tile opens its own tab: Verify, Leads, Requirements, Moderation, Listings.

    Watch out

    • Tile numbers are not full counts. A + means "at least this many". Open the tab for the real number.
    • People without this tab land on My Desk instead.

    Approve works only when all five conditions hold. Each red box says what to do when one fails.

    Intake

    You do

    • Type the owner's 10-digit phone.
    • Add a title, type and city. Price is optional.
    • Pick the source: Phone inbound, Field agent or Referral.
    • Press Create & open verification.

    What happens next

    A Draft is made under the owner's phone number. A new owner gets an account.

    Watch out

    • The listing stays Draft. It reaches Verify only after the owner submits it on the website.
    • The city must be live and inside your office's area.
    • Fast-track only shows a preview. It changes nothing.

    You do

    • Click a row. It opens the listing on the Trust tab.
    • Finish the checks. Then approve or reject.

    What happens next

    Approved listings go Listed. Rejected ones go back to the owner with your note.

    Watch out

    • Only Under review listings appear here.
    • An Auto-held listing cannot be approved. Clear it in Moderation first.
    • The Checks column reads "done of total".

    Listings

    Every listing in your city. Find one, then open it.11 of 11 roles

    You do

    • Pick a status tab: Draft, Under review, Listed, Rejected, Sold, Archived.
    • Filter by flag: Clear, Auto-held, Admin-held.
    • Press View to open a listing.
    • Use Hide or Feature on the row.

    What happens next

    Hide and Feature take effect on the public site within about a minute.

    Watch out

    • Feature only works on Listed listings.
    • Marketing sees "View only" for follow-ups.

    Moderation

    You do

    • Click a flag. Read the reason and the evidence.
    • Press Clear flag if it is fine.
    • Press Keep held to leave it held.

    What happens next

    A cleared listing can be approved or shown again. The action is recorded in Audit.

    Watch out

    • Reasons: over the listing limit (3 live per owner), duplicate photos, duplicate phone, declaration mismatch, blocked identifier, posting too fast, similar description, manual.
    • Risk labels: Low under 25. Medium 25 to 49. High 50 and over.
    • The Blocklist below the table is read-only here.

    • Press Verify if it is real. Press Reject if not.

    What happens next

    The broker's profile is marked verified or rejected.

    • A blocked person cannot be verified.
    • Reject cannot be undone from this screen.

    • Mine tab: press the chase phrase, set a date, press Save.

    • To confirm for the seller, open the listing. Use Reconfirm on owner's behalf.

    What happens next

    A confirmed listing leaves this list.

    Watch out

    • After 30 days without a confirm, the listing's public trust is capped. After 90 days it is very stale.
    • Marketing sees "View only".

    When Approve is refused

    • The listing is not Under review.
    • It is Auto-held or Admin-held. Clear the hold first.
    • It has no map pin.
    • The owner is blocked (everywhere, or in that city).
    • A check is still not_started or pending. A failed check does not block. You judge it.
    • The fix for open checks: Request force-approve and a second admin.

    • Filter by status, source or city.
    • Switch the view: Table, Kanban or By buyer.
    • Move a lead to its next stage. Set a next step with a date.
    • Close it Won or Lost. Lost needs a reason.

    What happens next

    Closed won deals get their money recorded with Record deal.

    Watch out

    • The buyer's name is hidden until the lead is Qualified or later.
    • Only the lead's owner (or an admin) can move it.
    • A lead cannot jump to Closed won. It must pass Negotiating and Token received.

    The shortlist is recorded and sent to the buyer on WhatsApp.

    Watch out

    • When a listing goes live, the system checks it against open requirements: type, city, budget.
    • On this setup the send is simulated. If it says "not sent", send it yourself.

    Every reveal is logged. A high number of reveals raises an alert.

    Watch out

    • Sales can reveal only for their own lead, at Qualified or later.
    • Office Admins can reveal people who have presence in their city.
    • See Person page for blocking and duplicates.

    • If the lead is already closed, or has deal money recorded, the approval is refused. The request stays open.

    • Look here every day. Nobody is notified.
    • Read who asked and why. Click the person or listing to check.
    • Press Approve or Reject. A rejection needs a reason.

    What happens next

    Approved: the action happens at once. Rejected: nothing changes.

    Watch out

    • Five kinds: Block account, Force-approve verification, Block account in city, Add a Super Admin, Remove a Super Admin.
    • A second tab, Access requests, holds staff asking for more powers or another office.
    • The person who filed a request can Withdraw it.

    • See who is blocked, where and why.
    • Lift a block that is no longer needed.
    • To add a block, open the person in People.

    What happens next

    A lifted block lets the person back in.

    Watch out

    • A city block is asked for by one admin and confirmed by another in Approvals.
    • Lifting a block does not unhide listings. They stay hidden until you release them.

    You do

    • Rejection notes and similar free text are not copied here, on purpose.

    Intake makes a draft that the owner must submit

    After Intake the listing is a Draft. Only the owner can send it for review, on the website.
